About AIFF

The Atlantic International Film Festival (AIFF) is an eight-day festival featuring screenings of 100+ films; Q&As, receptions, industry events and gatherings. The festival celebrates new and established filmmaking voices from Atlantic Canada and around the world, helping audiences discover new artists, uncover new perspectives and better understand the world through the medium of cinema. The festival presents films that cover a broad range of topics and genres, and is dedicated to presenting and elevating work from creators who are female-identified, BIPOC, 2SLGBTQ+ and Deaf and Disabled. The 45th AIFF will take place September 10 - 17 2025, at Cineplex Cinemas Park Lane in downtown Halifax.

YEAR-ROUND PROGRAMS: In addition to AIFF, the festival presents numerous programs throughout the year, designed to engage audiences, celebrate filmmakers and promote cinema. Other current programs include: AIFF Kids, AIFF Outdoor and CBC’s Reel East Coast.

The Atlantic International Film Festival (AIFF) is currently accepting applications for four seasonal contract roles to join the core festival team in planning this year’s edition. Positions currently available to all qualified applicants include Operations Manager, Volunteer Manager, Box Office Manager, and Senior Programming Coordinator.

Additionally we are accepting applications for a Marketing & Communications Coordinator through Katimavik’s FuturePerfect program, applicants must meet program eligibility Criteria. Learn more.

JOB POSTINGS (GENERAL)

Employment Contracts: May/June - October/November 2025

Remuneration: Commensurate with experience (see below for a salary range)

Work hours: 9:00 AM - 5:00 PM, Monday - Friday (evenings and weekends during events)

Location: AIFF Office, 1888 Brunswick Street, Halifax, NS. These positions are not suitable for remote work or work from home.

General Qualifications:

  • 3 - 5 years of relevant festival or event experience, preferably in an arts context

  • Excellent administrative and organizational skills, with a keen eye for detail 

  • Strong project management skills 

  • Demonstrated leadership skills managing staff and working with a team

  • Excellent interpersonal and communication skills

  • Ability to work collaboratively within a dynamic environment and with multiple stakeholders

  • Strong computer literacy and database management skills and experience (internet research skills, Microsoft Office, social media platforms, Google Drive)

  • Demonstrated commitment to upholding professional and ethical standards

  • Articulated understanding of inclusive and anti-racist practices in the arts 

  • Knowledge of and experience in the film & television industries and a passion for independent film will be considered assets

    Overview:

    The Operations Manager’s role is to oversee the logistics and operations of the 45th Atlantic International Film Festival and its concurrent events including the AIFF Partners industry conference.

    Reporting to the Executive Director and serving as a member of the Management Team, this position works to implement the production and operational aspects of AIFF events, including screenings, special events, panels, and industry programming. The Operations Manager oversees and coordinates seasonal and contract staff in transportation and operations departments. 

    Key Areas of Responsibility:

    • Ensure operational aspects of AIFF and its events are executed according to agreed plans and within approved budgets

    • Create and maintain timelines and schedules and oversee the workflow leading up to AIFF events

    • Liaise with key AIFF venues and event stakeholders to coordinate logistics

    • Work with Management Team to coordinate internal needs related to: transportation; distribution of marketing materials; technical equipment and labour; and parties and receptions 

    • Work with staff and external consultants to assess, document and improve AIFF’s accessibility, including physical accessibility at venues

    • Uphold AIFF’s Code of Conduct at all public events

    • During festival week, coordinate AIFF staff and volunteer spaces, and procure supplies, meals and snacks for staff and volunteers

    • Secure and maintain venue contracts

    • Track, update and manage operations expenses in accordance with the approved budget and work with AIFF’s Bookkeeper to ensure the timely payment of invoices and the collection of receipts

    • Secure or confirm any permits, additional insurance or legal documentation required for AIFF events

    • Contribute to final reports related to AIFF events

  • Contract Length: June - October, 2025

    Overview:

    Volunteers play a key role in the Atlantic International Film Festival, helping with key festival tasks like greeting filmgoers, scanning tickets, setting up events and transporting festival guests. With over 150 active volunteers, AIFF provides a welcoming atmosphere for volunteers from all different communities looking to learn more about the festival and meet like-minded film fans. The Volunteer Manager is responsible for overseeing our 2025 AIFF Volunteer Program to ensure a positive and successful experience for our volunteers and the Festival.

    Key Areas of Responsibility:

    • Manage and plan for the volunteer needs for the Festival and AIFF Partners

    • Training and supervision of the Volunteer Coordinator

    • Management for the delivery of all aspects of the Volunteer Program cycle including:

      • conducting a volunteer needs assessment with all departments

      • recruiting volunteers

      • training volunteers

      • maintaining an electronic database of volunteer information 

      • scheduling and ensuring volunteer shifts are filled

      • supervising volunteers 

      • helping to manage theatre crews and monitoring theatre capacity 

    • Contribute to final reports related to AIFF volunteers

    • Contribute to the planning of a post-festival volunteer appreciation event

  • Contract Length: June - October, 2025

    Overview:

    The Box Office Manager is responsible for overseeing the ticketing and registration needs of the Atlantic International Film Festival. The Box Office Manager will work with the Management Team, Box Office staff and theatre staff to ensure a smooth registration and payment process for audience, filmmakers and guests.

    Key Areas of Responsibility:

    • In collaboration with other management staff, develop the 2025 ticket and pass pricing, pass destinations and event / industry registration processes 

    • Oversee the workflow of ticketing and registration and work with other staff to refine the workflow as needed

    • Oversee the data input for ticketing and registration web-pages

    • Hire and supervise the core Box Office team including on-site staff as well as a Box Office Assistant

    • Address customer service issues and technical issues as they arise

    • Oversee logistics of the Box Office on-site and online during the sales period

    • Create Box Office sales reports during the AIFF

    • Compile and synthesize feedback, stats and other information for reports and post-event review

    • Maintain the administrative requirements of the role including internal and external communication, databases, tracking sheets, agreements and reports

  • Contract Length: May - Nov, 2025

    The Senior Programming Coordinator will work with the Director of Programming on the overall planning and execution of the Atlantic International Film Festival. Key responsibilities will include: tracking and soliciting films, leading the administration of the film invitation process and schedule letter process, managing the execution of the printed Program Guide, leading the programming operations in the lead up to and during the festival, and acting as a key liaison for programming stakeholders. This position supervises seasonal and independent contract staff as applicable. 

    Key Areas of Responsibility:

    • Track and solicit films for AIFF

    • Act as a key liaison for external film stakeholders and guests

    • Act as the Programming lead for festival publications including the Program Guide, website, and resources for external partners

    • Work with Print Traffic and internal teams to coordinate the content delivery of the screening components of the Festival, including pre-show and trailer packages

    • Coordinate department registration, ticketing inventory, and allocations, in collaboration with the Box Office team and the Programming Assistant

    • Oversee Intro and Q&A schedule logistics for Festival film screenings and related activities, including stage remarks 

    • Manage the festival Short and Feature film jury, including invitations, considerations and deliberations, festival experience

    • Oversee the planning and execution of the Awards Ceremony programming announcements and associated guests, scheduled for Sunday September 14

    • Compile Box Office Reports and payment tracking post Festival 

    • Write film notes or pitches for marketing material, as required

    • Introduce / host screenings and Q&As, as required

    Desired Employee Profile:

    We are seeking a film fan with experience writing and creating content for social media, websites and blogs. Experience in design/graphics, and with the Adobe Creative Suite, is an asset. Video creation and editing experience is also an asset.

    Tasks and Responsibilities:

    Supporting the Marketing & Communications Department as needed to implement the overall AIFF Marketing & Communications plan and strategy, which includes:

    - Online and print communications

    - Marketing, advertising, and design

    - Photography/videography

    - Public relations
